Importing your CSV File and Configuring the Import
Under most circumstances, you will already have users being created and updated through a nightly sync with your district’s selected AD or SSO option. However, there may be times when you need to supplement the user data coming in through the sync with additional data or import new accounts entirely if required. This can be done through the user importer. You can access this feature by clicking on Users > Import Users from the left navigation bar.
You can download a template for uploading your users on this page if needed. Please note that the template only includes the default user fields in Incident IQ. Any additional fields you want to have may be added to the spreadsheet and mapped to a custom field created in the Custom Fields section under Administration.
When you are ready to bring your import, you can drag and drop a file into the CSV file to import section.
Once your file has been uploaded, you will be taken to the first page of the importer, where you will begin mapping the fields in your spreadsheet to fields in Incident IQ. Please note that at the top of the importer, you will see a progress bar denoting which step you are on at all times. If you ever need to go back to a previous step in the import process, you can do so by selecting it here.
You will need to begin the Field Mapping process by selecting one of the following matching strategies:
Match By Email
Match By School Id
Any field added to the mappings must have a target field identified in Incident IQ. If the field has a green check mark next to it, then the field is mapped correctly.
You will be alerted to any fields not automatically mapped by the importer at the bottom of the page. To review these fields, click on Add Field Mapping. This will open a window where you identify any additional fields that should be added to the import.
Once you have mapped all the fields you want to import, click on Continue to Next Step.
At this point, depending on the fields mapped, you may need to go through additional steps to map the following fields to values in Incident IQ:
Location
Role
Please note that if you did not map these fields in the Field Mappings step of the import, you would not see a step to map them during your import. When going through these steps, please note that you can quickly identify how many values still need to be mapped at the top of the page.
As with the Field Mappings step, you must confirm any mapped values in the Target value in iiQ field column during these additional mapping steps. You may click on any value to manually select what the field should map to.
This will open up a new window where you can search for and select the value you wish to map to in iiQ. Please note that each suggested option will be assigned a percentage based on how likely the recommended value is the match you are looking for.
Please note that you will need to either map all values listed or skip them to continue each step. When mapping the values, you can individually accept all the importer’s recommended values or their mappings.
Once you have saved your mappings on these pages, click on Continue to Next Step.
After all fields and values have been mapped correctly in the importer, you will be taken to the import preview page. You can review which users will be created, updated, or skipped during the upload. If you need to make any changes, you can go back to the appropriate step. Once you are ready to begin the import, click Begin the Import Process.
Completing Pending Imports
The User Importer allows you to stop the import process at any time and resume the import process whenever needed. To access any pending incomplete import, navigate to the import in question and click Continue.
Reviewing Completed Imports
You may review any recently completed imports towards the bottom of the User Importer page.
If you need to access a detailed report of which users were created, skipped, or what fields were updated during a specific import, click Show Import Results to open the Import Results page.
Alternatively, you can click Download Results to log the import file instead.
