If you have a spreadsheet of multiple parts, you can use Incident IQ Parts importer to add your parts at one time quickly. This tool can create new parts and update existing ones by matching the Parts Number.
Importing Parts
You can import parts your district uses into Incident IQ by selecting Parts > Parts List from the left sidebar.
Click on the More button in the top right corner, then select Import Parts.
You can download a template for uploading your parts on this page. The template includes the required Incident IQ parts fields.
Parts will not be created without the following required fields:
Parts Name*
Part Number*: the SKU, Model Name, or Model ID
Category*: the category this part will be stored under
Please see the section within this guide for creating parts categories.
Default Minimum Quantity*: the minimum quantity for this specific part to trigger the inventory alerts on Parts Explorer.
Also, if you want to create a rule to send an email notification when the quantity reaches this minimum.
Please note that you can add and import custom fields. First, you must make a custom field within iiQ to map the data. Please reference the help guide for creating custom fields for more information.
When you are ready to begin your import, drag and drop a CSV file into the import section.
Once your file has been uploaded, you will need to select the matching strategy:
Part Name
Part Number
Next, you need to map the fields from your spreadsheet to fields within Incident IQ. The field will display a green checkmark when it is correctly mapped.
At the bottom of the page, you will see fields that the importer did not automatically map. To review these fields, click on Add Field Mapping, opening a window where you identify any additional fields that should be added to the import.
Once you have mapped all the fields you want to import, click Continue to Next Step. Depending on the fields mapped, you may need to go through additional steps to map additional fields to values in Incident IQ.
During the Field Mappings step(s), you must confirm any mapped values in the Target value in iiQ column during these additional mapping steps. Click on any value to manually select what the field should map to.
This will open a new window where you can search for and select the value you wish to map within iiQ. Please note: each suggested option will be assigned a percentage based on how likely the recommended value is the match you are looking for.
Please note: you can either map all values listed or skip them to continue each step. When mapping the values, you can choose to ‘Accept All’ recommended values suggested by the importer or accept their mappings individually. Once you have saved your mappings on these pages, click Continue to Next Step.
After all fields and values have been mapped correctly in the importer, you will see the import preview page. Review which assets will be created, updated or skipped during the upload. If you need to make any changes, revert to the appropriate step. Once you are ready to begin the import, click Begin the Import Process.
Importing Inventory for Parts
If you have a spreadsheet of multiple parts, you can use the Incident IQ Parts importer to easily and quickly add all of your parts at once. This tool can create new parts and update existing parts by matching the Parts Number.
You cannot add a custom field with this import. You can only import custom fields with the import of the part list.
Click the More button in the top right corner, then select Import Parts.
You can download a template for uploading your parts on this page. The template includes the required parts fields in Incident IQ.
Parts will not be created without the following required fields:
Part Number
Location
Available Quantity
Unit Cost
When you are ready to begin your import, drag and drop the CSV file into the import section.
Once your file has been uploaded, select whether you would like to:
Add to Inventory - designed to add additional inventory to what is listed in iiQ
Replace Inventory - designed to replace the inventory that is listed in iiQ
Next, you need to map the fields from your spreadsheet to fields within Incident IQ. When the field has a green checkmark, it is correctly mapped.
Once you have mapped all the fields you want to import, click on Continue to Next Step. Depending on the fields mapped, you may need to go through additional steps to map additional fields to values in Incident IQ.

Once you are ready to begin the import, click Begin the Import Process.
Reviewing Imports (Parts List & Inventory)
You may review any recently completed imports at the bottom of either the parts or inventory Importer page.
If you need to access a detailed report of which users were created, skipped, or what fields were updated during a specific import, click Show Import Results to open the Import Results page. Alternatively, you can click Download Results to log the import file instead.
Also, the Parts Importer allows you to stop the import process at any time and resume the import process whenever needed. To access any pending incomplete import, navigate to the import in question and click Continue.
