Importing your CSV File
Access the Importer: Navigate to Assets > Import Assets from the left navigation bar.
Template Use: You can download a template that includes default asset fields. Any additional fields must be added to the spreadsheet and mapped to a custom field created in the Custom Fields page under Admin.
Required Data: You must review all required fields before importing. Assets will not be created without all required data fields.
Upload: Drag and drop your file into the CSV file to import section to begin.
Field Mapping and Configuration
Once uploaded, you will be taken to the first page of the importer:
Progress Tracking: A progress bar at the top of the importer denotes the current step, allowing you to select a previous step if needed.
Select Matching Strategy: You must select one of the following to begin the Field Mapping process:
Match By Asset Tag
Match By Asset Tag or Serial Number
Match By Serial Number
Run Asset Rules: You can toggle this option on to run asset rules during file import.
Mapping Status: Every field added to the mappings must have a target field identified in Incident IQ. A green check mark indicates the field is mapped correctly.
Adding Unmapped Fields: If the importer does not automatically map fields, click Add Field Mapping at the bottom of the page to open a window where you can manually identify and add additional fields to the import.
Proceed: Click on Continue to Next Step after mapping all desired fields.
Additional Field/Value Mapping
Depending on your field mappings, you may need to complete additional steps to map values for the following fields to their corresponding values in Incident IQ:
Location
Model
Asset Status
Funding Source
Owner
Important Mapping Notes
Room Creation: Asset imports can create new rooms in iiQ, a feature that requires no permissions. If a provided room does not match one in the system, it will be created and mapped to the corresponding assets.
Tracking: Quickly see how many values still need to be mapped at the top of the page.
Confirm Values: During these steps, you must confirm all mapped values in the ‘Target value in iiQ’ field.
Manual Selection: Click on any value to manually search for and select the iiQ value it should map to. Suggested options are assigned percentages based on their likelihood of matching.
Model Creation Callout: If mapping models are missing, click Create New to create a new asset model directly in the importer window.
Continuation Rule: You must either map or skip all listed values to continue. You can accept all recommended values suggested by the importer or map them individually. Alternatively, click Skip Remaining to continue without mapping the rest of the values on that page.
Proceed: Click on Continue to Next Step once all required values have been saved or skipped.
Finalizing the Import
Import Preview: You will be taken to the import preview page to review which assets will be created, updated, or skipped. You can go back to the appropriate step for changes.
Execute: Click Begin the Import Process to start the upload.
Completing Pending Imports
The Asset Importer lets you pause and resume the import process at any time. To access a pending, incomplete import, navigate to it and click Continue.
Reviewing Completed Imports
You can review recently completed imports at the bottom of the Asset Import page.
Detailed Report: Click Show Import Results to open the Import Results page for a detailed report of what was created, skipped, or updated.
Download Log: Click Download Results to log the import file.
Archiving: Imports archive after 30 days. Submit a support ticket if you need to review an archived import.
