Rollout Scout - Advanced Deployment

This guide provides iiQ administrators and agents with a detailed overview of the Rollout Scout application, designed for efficient check-in and check-out of assets.

This feature is only available with the iiQ Assets module.


Using Batch Asset Check-In

Batch Check-In allows you to quickly process multiple devices.

Accessing Rollout Scout: Navigate to the left navigation bar and select Assets > Deployment.

  1. Assign Location: Select the storage location for the assets you are checking in.

    • This location is where you will store the assets and does not change the device's actual physical location.

  2. Process Assets: Enter the assets to be checked in.

  3. Confirmation: Incident IQ will notify you of a successful check-in. You can review all processed assets within the Check-in History and Timeline sections of the page.



Automatic Unassignment During Check-In

You can configure the system to automatically remove a device from a user's account upon check-in.

  • Action: Toggle ON the 'Unassign' when checking in? option located on the settings bar at the top of the page.

  • Workflow: Proceed with the standard check-in process.



Storage Tracking and Box Management

Use this feature to log exactly which storage container and slot a device occupies.

  1. Enable Tracking: Toggle Enable storage tracking? on the settings bar at the top of the page.

  2. Configuration: Enter the Box ID Number and the Slot Count (the box's total capacity).

  3. Scanning: Begin scanning assets. The system will automatically assign each device to the first open slot and mark it as filled.

  4. Notifications: The system will notify you of a successful check-in and automatically advance to the next available slot.

  5. Capacity Alerts: A window will appear when all slots in the current box are filled. To continue, enter a new Box/Container ID and Slot Count.



Submitting a Support Ticket for Checked-In Devices

You can open a support ticket directly from the check-in screen without leaving.

  • In the Check-In History section, locate the device and select New Ticket in the Actions column.

  • Action: A New Ticket Flyout will appear, allowing you to submit the ticket while remaining on the Check-In screen.


Adding Fees or Fines for Checked-In Devices

If a device is damaged upon return, you can apply fees or fines directly. After checking in a device, click Add Fee or Add Fine in the Actions column.

  1. Association: Under the Associate With section, verify the asset and location (these are pre-populated). You can also link the fee to an existing ticket.

  2. Details: Select the Fee or Fine type. The system will automatically populate:

    • Name

    • Description

    • Amount

  3. Edit/Save: Modify the pre-filled fields if necessary. When applying a Fee, ensure a Due Date is selected. You may add Internal Notes if required. Click Save.

  4. Outcome: The payment or fee will be applied to the user’s account, appearing as a new line item under the Incident IQ Payment and Fees widget.



Using Batch Asset Check-Out

Use Batch Check-Out to quickly assign devices to users.

  1. Lookup: Enter a Student ID or Student Number.

    • Administrators can enable the Update Asset to Match Owner’s Location site option to automatically update an asset's location to the user's location upon check-out.

    • If a student has an assigned device in storage, a side window will display the student's and asset's information, along with the storage location (box and slot). Use the "Administration" tab to customize the information displayed here.

  2. Processing: Scan the Asset Tag or Serial Number. The device status will automatically update from In Storage to In Service.

  3. Confirmation: The system will provide a success notification. Review the transaction in the Check-out History and Timeline sections.



Exporting History

  • Action: Select Export Assets in the top right corner of the Check-In or Check-Out History section to download the data as an Excel file.



Viewing Asset Storage Data

The Rollout Scout App adds granular data fields to your asset records.

  • View Details: When inspecting an asset record, you can see if it is currently in storage, which container it occupies, and its assigned slot number.

  • Advanced Filtering: Use these specific storage data fields as filters to create custom views, providing oversight of devices stored at specific locations or within specific storage units.
