How to verify assets with Audit Manager

Incident IQ Audit Manager supports two main asset verification methods:

  • Manual Verifications: Performed by agents and select requestors (e.g., via My Classes or while working on tickets).

  • Automated Verifications: Leverages system login data to automatically verify assets when users utilize their assigned devices.

Permissions

The following permissions will allow users to perform the following actions:

  • Manage Audit Policies: Allow users to view, create, edit, and delete Audit Policies. (Additional permission option required: View Audit Policies List and Details)

  • View Audit Policies List and Details: Reveals Audit Manager on the left navigation.


Asset Verifications on the Assets Details Page

  • Verify an asset by navigating to the Verifications/Audits tab on the asset details page and clicking Add Verification.

  • You can review and confirm asset information. To update the owner, location, or room fields during verification, check the Update Information option.

  • You can confirm or fail the asset verification. Successful or failed verifications are immediately flagged for any current audit.

  • Bulk Verification: Use bulk asset options from any asset view to verify multiple assets at once. You can review and confirm the asset(s) information and make changes to the owner, location, or room fields during this process.


Asset Verification using iiQ Mobile

Verifying from the Asset Details Page

  1. Open the asset details by tapping on the asset.

  2. Tap the menu icon (three lines) on the right side of the screen.

  3. Select verifications from the menu options.

  4. Follow the prompts to complete the asset verification.

Verifying Through Searching

  • Quickly look up any asset by clicking the magnifying glass in the top-right corner of the app.

  • Enter the device’s asset tag or serial number in the search window.

  • If the device exists, the rapid scan options appear; click Verify to complete the verification process.


Verifying Assets through My Classes

Districts can enable classroom teachers to verify students’ assets in their homeroom using My Classes; districts can optionally allow teachers to verify students' assets across all their classes.

  • My Classes can be accessed via My Work > My Classes in the left-hand nav. After selecting a class, the teacher clicks Verify Assets.

  • The Verify Student Assets section opens.

    • The location defaults to the class location, but a room number can be manually selected.

    • Verification begins by entering the asset tag or the device’s serial number. Please note that it supports barcode scanning

  • Teachers can also scan devices using a webcam by toggling the Use web camera option.


Verifying Assets while Working Tickets

Districts can enforce asset verifications when agents work on tickets by enabling the Show Asset Verification option in the Site Options page.

  • Dropdown options: Always, Never, Pending, or Failed.

  • When enabled, asset verification becomes required. Clicking this step opens the manual verification window, allowing the agent to quickly verify the asset.


Automated Asset Verifications

Automated verification uses confirmed user logins through asset management integrations to complete an audit.

Asset Management Integrations that support automated verifications:

  • Google Devices

  • Microsoft SCCM

  • FileWave

  • Microsoft Intune

  • Logic: Compares the last user who logged into the device in a given date range against the registered device owner in Incident IQ (IIQ).

    • Verified: User who logged in matches the device owner.

    • Failed: The user who logged in does not match the device owner.

Null Scenario: If a Device is not assigned in IIQ and no user logs in to the device, the Verification will log it as a positive verification since both users are ‘null’.

  • Setup: Integrations appear under the Automatic Verification section when creating an automatic verification policy.

Best Practice: The automatic verification method should end before the end of the audit period specified in the audit schedule to prevent audit overlaps.


Verifying Devices with Rules Engine

Create a rule using the Add Verification rule action.

  • Access: Navigate to Admin > Rules. Under the Ticketing category, select Assets. The action Add Asset Verification is located in the Auditing category for each trigger.

    • This action is available under all asset triggers except the Verified trigger.

When verified via the rules engine, the device reflects as an “Automatic” verification.


Verifying Devices when Checking In and Out

Automatically verify devices upon check-in/check-out using the rule action Asset Rules > Triggers Checkin/Checkout.

  • The rule runs with any form of checking-in and out devices, including:

    • Asset management integration (MDM)

    • Manually assigning and un-assigning assets

    • Bulk updating the asset owner

    • Basic Check-in and out

    • Rollout Scout Advanced Deployment check in and out

Although not required, it is recommended that your audit policy enable automated verification to work with iiQ’s Audit Manager.
