Working with Assets in Incident iiQ Mobile App

The following guide is designed to give mobile app users in districts with iiQ Assets a general overview of the following topics:

  • Using assets explorer in the mobile app

  • Viewing saved custom views

  • Checking assets in and out

Accessing Assets Explorer

The Assets Explorer page provides users a single location to search for and view all assets across the entire district. You can access this page by selecting Assets > Assets Explorer on the mobile navigation menu.

You will now find yourself on the Assets Explorer main page. You can manually search for assets using either an asset tag or a serial number. Additionally, you can also select to view assets from the following filtered views:

  • Asset Type: Displays all assets in your district stored under the selected type of asset (i.e., Devices, Software, Online Systems, Facility Equipment, Networking, Other)

  • By Category: Displays all assets stored under the selected asset category (i.e., Desktops, Chromebooks, Copiers, etc.)

  • By Location: Displays all assets stored at the selected location

Once you’ve chosen which view you’d like to see, you’ll be able to scroll through the list of assets for the selected filtered view.

Rapid Scan in Mobile

Rapid Scan displays asset information and quick actions when an asset tag is scanned. Rapid Scan works anywhere in iiQ Assets and iiQ Mobile App — scan a tag and take action. Use the camera on your mobile device to quickly scan asset tags. A quick scan brings up a menu of asset actions, providing IT teams with helpful asset management tools in the palm of their hand.

In the iiQ mobile app, select the magnifying glass icon in the top right corner to access the Rapid Scan feature.

From here, you can scan the device, use the voice-to-text option, or manually enter the asset tag/serial number of the device you wish to look up.

This will open the Quick Actions page. This provides you with a centralized location where you can quickly and easily.

  • View Asset: Selecting this option will take you back to the asset details page of the selected device.

  • Edit Asset: Selecting this option will take you to the ticket history of the selected device.

  • Check-In/Out: Selecting this option will take you to the mobile check-in/out page.

  • Submit Ticket: Selecting this option will take you directly to the issue category selection of the mobile ticket wizard.

  • View Tickets: Selecting this option will take you to the ticket history of the selected asset.

  • Verify: Selecting this option will take you to the Asset Verification page of the selected asset

  • Scan More: Select this option to scan additional assets and apply bulk actions.
Please see the next section for bulk updating assets.

  • Add to List: Select this option to create a list of assets to perform bulk actions to.
This is displayed after you scan more than one asset.

Bulk Updating Assets with Rapid Scan

When using Rapid Scan, you can scan multiple assets to perform bulk actions. Use the camera on your mobile device to quickly scan asset tags. A quick scan brings up a menu of asset actions.

Select the Scan More option. Next, scan your additional asset. Repeat the same step to add all other assets.

After scanning all your assets, select Add to List. This will bring you to a list of all your scanned assets.

Select the menu in the top right corner to prefer bulk actions to these assets. Here you can perform the following bulk actions:

  • Move

  • Change Status

  • Link to Asset

  • Unlink from Asset

  • Verify Assets

  • Clone

Editing/Deleting Assets in Mobile

If you want to edit a device’s data in iiQ Mobile, you can select the lightning bolt icon at the top right of any Asset Details page.

At this point, a menu will appear at the bottom of the page where you can select to either Edit or Delete the asset accordingly.

Asset Check Out

To check an asset back into district control, you must first navigate to the Assets Check-In/Out page. Use the search bar to pull up the device in question.

Once you have the asset pulled up, you will need to select the user to check the asset out to by using the search bar underneath Check Out To.

This will open up the User Selection page. Use the search bar at the top to find the user you are checking the device out to.

After making your user selection, you will be redirected to the Check In / Out page.

Asset Check In

To check an asset back into district control, you must first navigate to the Assets Check-In/Out page. Use the search bar to pull up the device in question.

Once the asset has been located, select the Check-in, no issues button. This will return control of the asset to the district.

Alternatively, you may come across an asset that has been damaged before checking it in. If that is the case, you’ll want to select Check-in, damaged instead.

This will take you directly to the issue category selection of the mobile ticket wizard. You can create a ticket for this asset as you usually would.

Once you’ve submitted your ticket, you will automatically be redirected to the Check In / Out page. This allows you to easily continue checking in any other devices without manually navigating back to the Check In / Out page.
