The Profile Picture Importer app allows bulk updating of user profile photos by uploading a single ZIP file containing the image files.
This app is ideal for districts that need an efficient, structured, and repeatable bulk import process, particularly if they:
Export photos from SIS or SSO systems.
Maintain centralized photo repositories.
Need to efficiently update a larger number of user photos.
Require a structured, repeatable bulk import process.
This app is available across all products, and any changes to a user's profile image will be reflected universally in all modules.
Installing the Profile Picture Importer App
Navigate to Apps > Browse in the left navigation.
Locate and select the Profile Picture Importer App in the Utilities section or use the search bar.
Select ‘Install’ to open the installer page and complete the installation steps.
Once successfully installed, you can select ‘Manage App Settings’ to open the app directly.
Configuring the Profile Picture Importer App
After installing, you must complete some configuration before you can upload image files.
Mapping Field Selection
Before importing, you must select the attribute used to match the image file name to user records. The mapping options are:
School ID (most common)
Email
Username
Replace Pre-Existing Profile Pictures Option
To replace existing profile pictures, select the ‘Replace any pre-existing profile pictures’ checkbox. If this option is not selected, users with existing profile images will not have their images updated.
File and Image Requirements
The following sections outline the file and image requirements:
ZIP File Format
ZIP format is required to efficiently handle large batches (e.g., 200,000+ photos) without overwhelming the browser.
The importer accepts a single ZIP file containing all images.
The name of the ZIP file does not matter.
There is no enforced maximum file size.
Image Requirements
Supported format: JPEG only
Recommended minimum size: 125 x 125 pixels
Larger images (e.g., 300 x 300) will result in better quality, while smaller images will be scaled up, potentially reducing clarity.
Image quality depends entirely on the file uploaded.
Factors influencing how images appear:
If the uploaded image is low quality or blurred, the result will reflect that.
Larger images may be centered and cropped to fit display areas.
The system attempts to center images within the available space.
Image Naming Convention
The filename (excluding the file extension) is used to match the image to an existing user. Each image file name must match the selected lookup field.
Example:
If School ID is selected as the lookup field, then ‘12345.jpg’ will update the user image for the user with School ID 12345.
If the image file names do not match the selected lookup field, the images will not be applied.
Import Process
Tip: Test with a small batch first before full upload.
Create a zip file with users' images.
Add the zip file to the app via drag/drop or by browsing your documents.
Select ‘Process File Name.zip’.
There is no lock functionality, meaning users can manually change their profile image after an import.
Processing times may vary depending on queue load.
The import only updates existing users; no other user attributes will be changed.

After processing, a results page is displayed.
Selecting ‘Show Job Results’ allows you to see Completed and Skipped lists.
Only successfully matched users appear in the Completed list.
Images that matched the lookup field but had poor image quality (e.g., too small) will be in the Skipped list.
Updated photos appear on the User Profile and in any areas where profile pictures are shown, such as user grids across the platform.
