By categorizing events as Private or Public, you can control who can access the event details based on your intended audience. While the blocked time will still be visible on the calendar, it will indicate to public users that the space is unavailable for booking.
Permissions
The ‘Make this Event Private’ toggle is exclusively available when creating a new event using the New Event button or updating an existing event. It does not appear for requestors or when submitting a ticket for the event.
Users must have the 'Manage Event' permission to mark an event as private.
When an event is marked as private, users must have the ‘View Event’ permission to see the full event title and details.
Setting an Event as Private
When creating or editing an Event, you can designate it as "private" by toggling the "Make this Event Private" toggle. By designating events as Private or Public, you can control who can view the event name based on its intended audience. The blocked time will still appear on the calendar, so public users will know the space is unavailable for booking.
Event Owners can see all event details they requested, even if the event was marked as private.
Calendar View: Displaying a Private Event
Events labeled as "Private" will be displayed as "Busy" on publicly embedded calendars in daily, weekly, and monthly views, rather than showing the event title. However, the blocked time will still be visible on the calendar, allowing public users to see that the space is unavailable for booking.
Public users can click on an event to view information, but the Event Title will display as "Busy."
Event Reservation Submission Process
When users submit an event request, the events marked as "Private" will appear as "Busy" on the calendar view. This ensures that other users can see that the time slot is occupied, while maintaining the confidentiality of the private event details.
Set Events to Private in Bulk
From an event view, start by selecting multiple events for which you want to update information. Go to Other > Set Info, choose Private, toggle ON for private, toggle OFF for public, and then select Update Events.
Past events cannot be edited.
Events that cannot be updated will be marked as "Skipped," rather than "Completed."
Each event updated through bulk action is individually logged in the event's history, including the user and timestamp.
After marking multiple events as Private, the Requester will see Busy events on the external Calendar.
