A public calendar of Events for the district can be displayed on the district’s website. This is done by the Admin, who can extract the Embed Code and paste it onto the website.
On this Calendar, certain school events can be shown publicly to share important dates for the school year with the community of parents and students. The displayed Calendar of Events enhances transparency, communication, community engagement, and organizational efficiency. It helps create a more informed and involved school community while facilitating effective planning and coordination of activities. The public calendar gives district website visitors the option to view the calendar by Month, Week, or Day.
Use Cases
Teachers, faculty staff, parents, and students can reference the public calendar to see upcoming events and plan for them.
Community members may want to see if there are some events that apply to the community as well.
Community members may be interested in booking space at the school.
Admin publishes the Calendar to be available for the community, thus eliminating most of the direct contact regarding every event’s details and saving time.
Steps to Creating and Posting a Public Calendar
The Admin who manages the district website should go through the following steps:
Apply needed filters to the list of events
Create a custom view Calendar (i.e., New Custom View - Public School Calendar)
Accessing the Embed Code
Posting the Calendar on the district website
Please note that agents and admins can create these views in other iiQ modules (e.g., Ticketing, Facilities) where Events can be accessed.
Step 1. - Applying Filters to the list of Events
When creating the public calendar, you may only want to show events for a certain type of event or a specific location, as well as only showing events that have been approved. To do so, you will add filters to customize which events should show on these calendars.
Select Event > All Events on the left navigation. In the top right corner, select Filter. Next, start applying the filters for your public calendar. Also, you can use the Exclude Selected option when applying filters.
After applying all the filters necessary, you will see all the events listed based on those filters and see the filters that are applied at the top.
In this example above, we are wanting to show all events that have the Event Status = Approved and exclude the Event Types: Facilities Maintenance and Parent/Teacher Conference.
Step 2. Creating a Custom View Calendar
After applying the filters, you will need to create a custom view. Select the More option in the top right corner and then select New View.
Next, give the new view a name, {e.g., Public School Calendar}, and click Save.
The new view is saved and accessible on the left navigation under Views.
Step 3. Accessing the Embed Code
Select the Calendar tab within the view. The left side of the view will show the Embed Code widget. Select the Get the Embed Code button.
Here you are able to copy the HTML code and paste it onto your district website. The Only display upcoming events? toggle can be used for the embed code to display only upcoming events (enabled) or All events (disabled).
Please note, if you make any changes to the filters within iiQ platform. You will need to copy the update the embeddable on your website.
Step 4. Posting the Calendar on the District Website
Now you can add the HTML embed code onto your district's website. The calendar will display the filtered events in a Month view as the default setting. Each event showcased will include the Event Title and Time (excluding setup/breakdown times), as well as details regarding the location and room.
If the user clicks on the event, a pop-up will appear, displaying the event details: Event Title, Location/Room, Date, Start and End Time, and Setup and Breakdown times.

If no events exist, a blank calendar will still be rendered publicly.
Once the Calendar is embedded, it will display the current state of events based on the filters that were chosen when the Embed Code was generated.
Multiple public calendars with different filters can be embedded by creating multiple views and extracting an embed code for each view.
