Events are an object within iiQ used to track or coordinate the events being requested at a district. Events can be manually created by agents and admins or indirectly through requestor tickets. Events also have a special attribute that prevents two events from overlapping their start and end times at a single location (i.e., prevent double booking events). This means any event that conflicts with an existing event will not be permitted to be created or requested. Another detail for Events is that they can be viewed in a list view or a calendar view. Both views can be filtered by several characteristics related to the Event. This article describes the Agent and Admin submission and viewing of an Event.
Viewing Events
List View
The Events list view is the primary location for you to view which Events are currently scheduled at district facilities, the details of each Event, and the status of those Events. There are two Events list views that are available with iiQ Events, Upcoming Events, and All Events.
To view Events, navigate to Events > Upcoming Events or Events > All Events.
The All Events tab shows the list of all created events for the district organized in six columns: Event Name, Event Date, Attendees, Event Status, Location and Room, and Owner.
By default, Events are listed in chronological order and in Descending order, by the event's date/time.
To assist with finding a specific event, the list can be sorted in ascending or descending order by each column.
Column Name | Description / Notes |
Event Name | In addition to the Event Name, the Event Type icon and the Event Type name are displayed in this column.
If the event is recurring, there will be an icon next to the Event Name to visually indicate that the event is recurring.
Hovering over the Recurring icon will display recurrence details: recurrence timeframe, day, time, and end date.
|
Event Date | The Event Date column displays the date of the event as well as the Setup/Breakdown times.
|
Attendees | Attendee is an optional field on the event; if provided, the number of attendees will be displayed on the list. |
Event Status | The Event Status column displays each event status differentiated by color: Green for Approved, Red for Canceled or Denied, and Blue for Pending Approval. |
Location and Room | The Location and Room column displays the location and room booked for each event. In the case where several locations/rooms are booked for multi-room booking events, the user will see a link for +N More; clicking on this link will display the list of all rooms booked for that event.
|
Owner | Displays the owner of the event. |
Invoice Status | Shows whether there is an outstanding balance (Unpaid) or if the total balance is $0 (Paid) If new line items are added, the event will return to an unpaid status. This column will be empty if no fees are associated with the event. |
The Upcoming Events tab shows the list of current events (Start date/time has passed, but End date/time is still in the future), and future events (Start and End date/time is still in the future).
This list excludes the events whose End date/time is in the past; they will be visible in the All Events view.
On both the All Events and Upcoming Events tabs there is an option to view events in a Calendar.
Please note, you are able to bulk edit upcoming events. Learn more on how to bulk update here.
Calendar View
Calendar views of events are very useful as you can easily track events and when they are occurring relative to one another. This saves time in finding what you are looking for. It’s also easier to see available days/times on the Calendar and make a decision about when to reserve an event.
You can see events in a monthly, weekly, or daily view on the Calendar by updating the toggle in the upper right.
When viewing the calendar in a weekly or day view, there is more information visible on the Event so that a user will not need to click into each event to see details such as timeframe, Event Title, Event Location, Event Room, and Event Owner.
Each event has an icon of a different color representing its status:
Green for Approved
Red for Canceled or Denied
Blue for Pending Approval
Purple for Conflict Pending
Any filters set when toggling between the Calendar and list view are retained until the user navigates away from the page.
Clicking an event in the calendar view will open the event details page, where the user can make necessary changes to the event.
When toggling between Month, Week, and Day views, the following behavior should occur.

To create a new Custom View, navigate to Events > All Events > New View.
When creating new Event Views or exporting an Event View to CSV, additional columns are available to add to the grid. These additional columns include Custom Field columns for the following field types:
