Audit Manager - Creating Audit Policies

This feature is only available with the iiQ Assets module.

The Audit Manager allows districts using iiQ Assets to formalize their audit process through managed policies.

  • Customization: Use filters to define the scope of audits, ranging from broad to narrow.

  • Independence: Each policy operates independently, allowing multiple audits to run concurrently.

  • Reporting: Access reporting tools with new fields for audit data and visual statistics summarizing the verification status of all devices covered by a policy.

Setting up a New Policy

Navigate to Assets > Audit Manager on the left navigation bar.

  1. On the Audit Policies page, click the New Audit Policy button (top right).

  2. Select a template from the following five options:

    • Student Devices Policy: Automatically filters out devices assigned to a "Student" role.

    • Non-Mobile Classroom Devices: Automatically filters out devices in "laptop/notebook" and "Chromebook" model categories.

    • Funding Source Policy: Automatically filters out devices that do not belong to a selected funding source.

    • Teacher Devices Policy: Automatically filters out devices not assigned to a "Faculty" or "Staff" role.

    • Custom Policy: No pre-made audit schedule applied.

Policy Details

Once a template is selected, the Policy Details page opens. Here you can:

  • Rename the policy and update the description.

  • Toggle the policy status (on/off).

  • Edit, copy, or delete existing schedules via the Available Tools section.

  • Add new schedules using the Add Audit Schedule button.

Policy Application and Re-evaluation

  • Automatic Application: Newly created assets are added to an existing Audit Policy during the next nightly compliance scan.

  • Pending Status: Assets created and verified before the policy is applied may show as ‘Pending’ until the next scheduled scan.

  • Manual Re-evaluation: To trigger an immediate reprocessing cycle, edit and save the policy.


Adding Schedules to Audit Policies

To create a new schedule, click Add Audit Schedule at the bottom of the Policy Details page.

Scheduling Fields

The scheduling pop-up allows you to configure:

  • Schedule Type: Manual agent verification, automated asset management integration, or both.

  • Dates: A starting date and an automatic repeat interval.

  • Duration: The timeframe before assets covered under the audit fail their verification.

Advanced Features

  • Subdivide Option: Automates spacing for audits within a repeat period.

    • Example: If an audit is repeated annually and subdivided into four, the system initiates an audit every three months.

  • Applies to Section: Manage filters for the schedule.

Always click Save Audit Schedule after making changes.



Working with Audit Data

  • Statistics Tab: Within a policy, click this tab to view visual reports on asset verification status.

  • Asset View: Current policy coverage is visible directly from any standard asset view.

  • Information Filters: Use the Audit Manager's new filters to build Custom Views and export reports.

Note on Null Verification: If a device is unassigned in iiQ and no user is logged in, the system registers this as a "positive verification." This occurs because the "user is null" matches the "logged-in user" (also null).
