The Manage Label Templates permission allows users to view, create, edit, copy, and delete templates.
There are two types of label templates: Asset templates and User templates. Each type comes with a specific set of fields and default values that apply to those fields. Asset templates are designed for managing resources or items, while User templates focus on profiles.
The Label Templates page is located on the left-hand navigation. Upon accessing this page, it displays the list of all label templates in alphabetical order, organized in five columns:

The Barcode Type can be Regular (Code 128) or QR.
Label Type
The label type can be either Asset or User.

Creating an Asset Type Label Template
To create a new Asset Type label template, select New Template in the top right corner of the Label Templates page.

Field Name | Required/ Optional | Description |
Template Name | Required | The template name should be unique. If the entered name already exists, you cannot save the template and will get an error saying, “Can’t have multiple templates with the same name.”

Label Type | Required | The Label Type defaults to Asset. You can change the default by selecting another option in the drop-down menu. The available options are Asset and User. |
Label Barcode Type | Required | The Label Barcode Type defaults to Regular (Code 128). You can change the default by selecting another option in the drop-down menu. The available options are Regular (Code 128) and QR Code. |
Label Barcode Value | Required | The Label Barcode Value defaults to Asset Tag. You can change the default by selecting another option in the drop-down menu. The available options are Asset Tag, Serial Number, and Owner SchoolId. If a Serial Number is selected and the Asset doesn’t have a Serial Number, the barcode will default to the Asset Tag. |
Barcode Width | Required | The Barcode Width is a percentage of the label width and defaults to 100% (Default). You can change the default by selecting another option in the drop-down—available options: 25%, 50%, 75%, and 100% (Default). |
Label Width | Optional | The Label Width defaults to 3.5. You can change the default by entering a custom Label Width. It will be displayed horizontally on the printed area. When entering the Label Width, it is recommended to consider the left and right margins. The Label Width is applicable only when the user selects the 1 label per page printing option. The bulk label print option has the label width set to 2.625 inches, and it is not customizable.

Width Measurement Type | Required | The Width Measurement Type defaults to Inches. You can change the default by selecting another option in the drop-down menu. Available options are millimeters, Inches, and Centimeters. The Width Measurement Type is only applicable when printing 1 label per page. |
Label Height | Optional | The Label Height defaults to 1. The user can change the default by entering a custom Label Height. The label height will be displayed vertically on the printed area. The Label Height only applies when the user selects the 1 label per page printing option. The bulk label print option has the label width set to 1 inch, which is not customizable.

Height Measurement Type | Required | The Height Measurement Type defaults to Inches. You can change the default by selecting another option from the dropdown—available options are millimeters, Inches, and Centimeters. Height Measurement Type is applicable only when printing 1 label per page. |
Number of Label Lines | Required | The Number of Label Lines defaults to 5. You can change the default by selecting another option in the drop-down menu. Available options are 1-6. |
Line 1: Title | Optional | Line 1 defaults to Site Name. Lines 2-6 are cleared by default. You can select a value from the dropdown. Available options are barcode, Site Name, Asset Tag, Serial Number, Location Name, Room Name, Location With Room, Owner Name, Owner Email, Owner School ID, Model Name, Funding Source, Warranty Expiration, and (Custom Text). If you select Barcode for any line, the Barcode Type and Barcode Value will be displayed in place of the Line's position. The Barcode can be chosen for any line and displayed at the top, middle, or bottom of the label. |
Additional Custom Text/ | Optional | For any line from 1 to 6, select a (Custom Text) option from the dropdown to enter your info or text, such as the School website or “Do Not Remove.”
The following Additional Asset fields are available for selection: Deployed Date, End Of Life Date, Expected Lifetime, Insurance Expiration Date, Invoice Number, PO Number, Purchase Price, Purchased Date, Replacement Cost, Retired Date, Salvage Value, Slot Number, and Specific Location. The following Custom Asset fields are available for selection: the Last Maintenance Date, the Next Maintenance Date, and the MAC Address. Depending on the district's asset apps, the following asset fields from the apps will be available for selection. The following Supported iiQ Payment Integrations fields are available for selection.

The following Spare Pool Management fields are available for selection: Spare Pool: Group Name, Spare Pool: Issue Date, and Spare Pool: Pool Name. |
Advanced Settings | Optional | Custom CSS—This field is off by default, but you can expand the dropdown and apply custom CSS to modify the label (e.g., different Font styles and Font sizes). CSS knowledge is needed to use this field.

The Save button will be enabled only after all the required fields are completed. All fields will be validated before you save the template.
Due to variances in PPI (Pixels per inch), your monitor might not display the preview correctly. However, the printing will be accurate to the specified width and height provided.
Looking up an Asset to Preview
Selecting Lookup an Asset to Preview opens the Lookup asset to preview window, allowing you to search for an asset. A label preview with the asset details is displayed if the asset is successfully found and selected.
This button is displayed only if the user has permission to ‘View Asset List and Details’.
You can look up an asset using its Asset Tag. Enter the Asset Tag and then select "Lookup Asset Tag."
Alternatively, you can enter a Serial Number and select Lookup Serial Number.
The Asset Details tab will show the details of the found asset.
Choose "Preview Label" to see how the label will appear.

Creating a User Type Label Template
To create a new User Type label template, select New Template in the top right corner of the Label Templates page.
The Label Template Details page opens.

The User Type template shares most fields with the Asset Type but includes specific fields unique to the User Type.

Label Barcode Value | Required | If the User Type is selected, the Label Barcode Value defaults to School ID, but the user can still choose another value from the dropdown. Available Options are Email, User Name, and SchoolId. |

User templates created in one product will be visible across Assets, Facilities, and Resources if the district has those products.
Looking up a User to Preview
Clicking "Lookup a User to Preview" opens the Select User window, allowing you to search for a user. If the user is found and selected, a preview of the label with the user's details will be displayed.
This button is displayed only if the user has permission to ‘View User List and Details’.
A User search can be filtered by Location and/or Role.
Clicking on the user will return to the Label Template Details page, displaying the label preview with the chosen user details.
