Rooms List

Rooms

The Rooms list is where you can view all the rooms and the details of each room.

To view Locations, navigate to Places > Rooms.

To assist with finding a specific room, the list can be sorted in ascending or descending order by each column. All Rooms are organized in five columns: Name, Room Type, Location, and Description.

Searching Rooms

The Search bar allows the user to search for a room by entering the first few letters or numbers in the Name, Room Type, or Location.

Filtering Rooms

In addition to using the default rooms list, one or more filters can be used to create a smaller, more relevant set of results. Filters allow advanced searches by location or location type.

Select Filter in the top right of the page to begin using a filter.

In the Select a filter modal, the columns on the right display filters to select to refine a search. On the left side of the modal, all filters are consolidated by type: All filters and Location filters. This helps find a specific filter.

Once a filter is selected, the specific data by which to search is chosen from the filter category, and the location list refined by the filter will be displayed.

Adding a Room from the Rooms List

In addition to adding a room from the Locations Room Tab, administrators and agents with the appropriate permissions can add rooms by selecting Places > Rooms on the left sidebar.

To create a new room, select + New Room near the top right of the Rooms List page.

The Room Details page will open.

If the school district has iiQ Events, after saving the room, there will be two tabs at the top: Room Details and Availability. If iiQ Events is not licensed, only Room Details will be available.


Room Details Tab

Required fields for rooms are Room Name, associated Location, and Room Type. Other fields like Square Footage, Seating Capacity, and Maximum Occupancy are optional, but can be very useful to fill out for the future ability to filter by those parameters.

  • The Room Type field can be set to any type necessary: Cafeteria, Classroom, Conference Room, Closet, Storage Room, Gym, Office, etc.

  • The Photos section allows for uploading photos of a room and supports JPG and PNG file formats. When uploaded, a preview of uploaded photos will be shown with a scroll bar if more than four photos have been uploaded.

  • The Room Layout section allows for uploading files with layouts, plans, etc. This field supports JPG, PNG, DOC(X), PDF file formats. Max file size is 30 MB.

  • The Description and Internal Notes fields are optional and can be used to put a brief description to identify this room or to put some notes related to this room, i.e., scheduled maintenance or status.

Once completed, Save will add the new room.

Editing an Existing Room

To edit a room, select it from the list of rooms on the all Rooms page.

The Rooms detail page will be displayed, where a user can edit the room’s name, location, room type, description, and internal notes, and add/remove photos and floor plans. Selecting Save will update the changes for the room in iiQ.

Deleting an Existing Room

To delete a room, select it from the list of rooms on the All Rooms page.

Any permissions, rules, user access, and analytics that rely on mapping to this room will be lost. Please ensure contingencies for all mappings have been put in place before proceeding.

Select Delete at the top right corner of the Room Details page to delete.

The pop-up window will ask for confirmation that the item should be deleted. Select Delete to delete the item.

Bulk Editing Rooms

Users with the appropriate permissions can perform bulk actions on rooms. Multiple individual checkboxes to the left of each room can be selected. Also, all rooms for the current page can be chosen by checking the Room Name/# checkbox in the list header.


Bulk Change Room Type

To change the type of several rooms in bulk, on the Rooms List page, select the checkboxes next to the rooms to be changed and select Change Type.

In the Bulk Set Room Type modal, select the room type needed from the drop-down list and then select Update Rooms.

Confirm the change by selecting Apply Changes to X Rooms.

Bulk Delete

To delete rooms in bulk, on the Rooms List page, select the checkboxes next to the rooms to be changed and select Delete.

Confirm the change by selecting Apply Changes to X Rooms.
