The Check In/Out of Resources feature allows you to easily assign materials directly to individual students. For example, algebra teachers can check out calculators at the start of the school year, giving each student the necessary tools. At the end of the year, students return their calculators, and the teacher checks them back into the system to keep track of inventory and ensure everything is accounted for.
There are three types of resources available to check in and out:
Serialized: These are unique, durable goods that are managed individually. Examples include microscopes, musical instruments, and electronic equipment.
Generic: These are interchangeable and managed in bulk; these assets can generally be checked in or out between users. Examples include novels, sporting goods, or chairs.
Consumables: These are generic resources meant to be used up and not returned. Examples include workbooks, art supplies, and dissection kits.
My Classes Page
The My Classes page shows all the classes/courses you are leading. The Search field allows you to search for a class.
Selecting a course in the Current Courses tab will lead you to a particular Class Details page. On this page, you can verify assets, check in/out assets, and check in/out resources.
Check In
Selecting Check In Resources allows you to check in a resource from a student back into the system.
You can search for a student by ID, Name, or Email.
When a student's name is entered, the system displays the available resources for check-in. If the resource is a serialized item, selecting "Check In" will immediately check in the item and remove it from the Assets column associated with that student.
If the resource is generic, clicking the Select button will show the fields for Quantity, Location, and optional Room for you to complete.
Selecting the Check In will return the resource to the school system and remove it from the Assets column for that student.
You can check in general and serialized resources, but you cannot check in consumable resources since one student usually uses them, making them unavailable for reuse by another student.
Check Out
Selecting Check Out Resources allows you to check out a resource to a student. You can check out serialized, consumable, or generic resources.
You can fill out the Student and the Resource fields and search a student by ID, Name, or Email, and search a resource by a Tag or Serial #, or Name.
If the Consumable resource is selected, the Location and Quantity fields become available to be filled out.
If the Generic resource is selected, in addition to the Location and Quantity fields, the Due Date field becomes available to be filled out. Due Date is not a required field, but it represents the due date the student will have to return (check in) this resource back into the system.
If the Serialized resource is selected, only the Due Date field becomes available to be filled out.
After the Student and Resource are selected and other fields are filled out, selecting Check Out will check out the resource and show it in the Students section in the Assets column.
If the student has several resources checked out to them, clicking the left and right arrows will allow you to navigate back and forth and see all of them.
The Checkout History in Resources > Resource Details page will also show to which student and by what teacher that particular resource was checked out/in.
If you have permission to a student or an asset page, hovering over each will highlight it in blue, indicating that you can click on it and drill down. If hovering doesn’t highlight the asset, you cannot access that asset page.
If there is a Read-only lock sign in red in the student section, hovering over it will not highlight it, which means you do not have access to that student’s details page.
