Creating and Managing Asset Types

Introduction

The primary goal of Asset Types is to categorize different assets, so you can quickly access them by their asset type in default and custom views, analytics, and data exports. For instance, if you want to view all licenses you have stored in Incident IQ, you can filter by asset type.

An Asset Type is assigned to an Asset Model during model creation. Incident IQ automatically assigns the Asset Type to a new Asset based on the model selected for that asset type. By default, Incident IQ has six asset category types which are as follows:

  • Devices - The default selection for assets and is used for most technology hardware brought into the system.

  • Facility Equipment - This allows you to designate equipment as facility equipment.

  • Licenses - This allows you to store software or hosted solutions as individual assets.

  • Networking - This allows you to designate networking equipment as assets.

  • Online Systems - This allows you to designate a hosted solution such as your SIS or Learning Apps as an asset (software accessed through the web and not hosted on a local machine).

  • Other - This allows you to store assets that might not fit in another category.

  • Software - This allows you to designate a hosted solution such as Adobe as an asset (software accessed through the web and not hosted on a machine locally).



Adding a New Asset Type

From time to time, you may come across a piece of equipment that may fall outside the classification of the six default Asset Types. Administrators can create additional Asset Types as needed by clicking Administration > Asset Types in the left navigation bar, taking you to the Asset Types page. Click Add Asset Type in the top right corner of the screen.

In the fly-out window, you will need to provide the following information:

  • The asset type name

  • An icon

  • A sort order

Then you can select the default columns and the order in which those columns will appear for users when they access a view filtered by this Asset Type.

Column selection is not available for default Asset Types, and may only be set for any new Asset Types created.

If you are using multiple modules in Incident IQ, select the product visibility of your new Asset Type, allowing you to enable and disable the availability of Asset Type by product module when creating and editing models. Once saved, your Asset Type will be available for immediate use.



Editing an Existing Asset Type

Administrators can edit existing Asset Types if needed by clicking Administration > Asset Types in the left navigation bar. On the Asset Types page, click the specific Asset Type you want to edit.

If you are editing a default Asset Type (devices, facility equipment, licenses, networking, online systems, other, and software), the only option available in the fly-out window is product visibility.

If it is not a default Asset Type, you will also be able to edit the following fields of information in addition to the product visibility:

  • The asset type name

  • An icon

  • A sort order

  • The default columns and column order of asset views based on asset type



Bulk Delete Asset Types

Bulk actions are available for Asset Types in the list view, allowing users to delete multiple items at once instead of one at a time.

The bulk delete action is accessible on the Enabled Asset Types and All Asset Types tabs. Select the Asset Types and then Delete from the action toolbar.

You cannot delete an Asset Type if:

  • The asset type is on Incident IQ’s Catalog.

  • The asset type is currently associated with an asset (deleted or active) in the current product.

    • If the asset type is associated with any assets in other products, it will be disabled for the current product instead of being deleted.

    • If the asset type is associated with any model (disabled or enabled), it will be skipped.

  • The asset type is currently associated with ticket data.

    • If the asset type is associated with any tickets in other products, it will be disabled for the current product instead of being deleted.

  • If the asset type is enabled in another product, it will be disabled for the current product instead of being deleted.

Once the bulk operation is finished, the completed and skipped Asset Types will be displayed in their respective tabs.

The filter in the top right corner lets you sort asset types by source to better understand which global items were skipped.
