This guide will walk you through how to create a rule to generate tickets in other modules (e.g., ticketing or facilities) based on specific criteria or the number of days before the event. This will help users working on these tickets stay organized and on track based on the date of the event.
For example, if you have an event that is booked 2 months in advance and a rule that generates tickets in another module (e.g., ticketing or facilities), you want to avoid those tickets being generated right when the event is approved because the event is still months away.
Another example for recurring events (e.g., monthly PTA meetings) will now have the ability to auto-create event-related tickets a set number of days in advance of the event.
Navigate to Admin > Rules. From here you will need to set thie rule under Event Module and the Trigger When > On Schedule.
Select Create New Rule in the top right corner. Next, name the rule, make it active, and start applying filters to this rule.
Please note, when using the On a Schedule trigger, the Schedule filter is required to be applied to each rule.
If the Room/Location filter is not applied, this rule will run for ALL events. It is recommended to apply a specific Room/Location filter.
The following filter are recommended when setting up these type of rules:
Days Before Event Filter
Rules that are set up to create tickets in relation to events will create the tickets for events within a timeframe specified by the user. For example, create a ticket 7 days before the event.
Schedule Filter
For example, the Admin wants to generate tickets every day at 9 am. They can pick a time of 9 am and check the Daily radio button.
Event Date Filter
When using the Event Date filter, you are able to apply the Moving Date Ranges option. There are many different options available, like Today, Next Week, Next Month, and more.
