Installing PowerSchool SIS - V2

The PowerSchool Integration allows administrators to seamlessly integrate PowerSchool with Incident IQ by automating most aspects of your data upload. This allows administrators to efficiently manage sync and mapping options for users, groups, and locations across the two programs in a single, convenient location.

Installing the App

  1. Navigate to Incident IQ Apps > Browse in the left-hand navigation.

  2. Select the PowerSchool App and click Install.

  3. Follow the steps to complete the installation.

    • The sections below provide an overview of the steps.


Build the PowerSchool API Plugin

Districts can build custom plugins using the Plugin Builder to control data extraction:

  • Which tables should be used for student email address data

  • Which tables should be used for parent/guardian data

  • How parent/guardian data is imported (e.g., all contacts vs. priority/primary only)

  • Which tables to use for Staff role assignments

There are three available query types, all detailed below. We recommend building all three:

  • List All Student Users

  • List All Staff Users

  • List All Guardian Users

Note: Incident IQ automatically saves your options after each selection. Continue building all necessary queries before downloading the Plugin. If you have built the additional queries, select Download Plugin to continue.

List All Student Users

  • Base: Select Default.

  • Student Email Address: Select from the following options based on your setup:

    • Default PS Tables (reads from emailaddress)

    • Reading student email from U_DEF_ACCOUNT_MGMT table

    • Reading student email from U_DEF_EXT_STUDNETS table

Note: Incident IQ automatically saves your options after each selection. Continue building all necessary queries before downloading the Plugin. If you have built the additional queries, select Download Plugin to continue.

List All Staff Users

  • Base: Select Default.

  • Staff Roles: Choose how staff roles are assigned:

    • Default OneRoster Roles

    • California-specific Staff Assignment Table (for California districts)

    • JobCategory in the User Extension Table (U_DEF_EXT_USERS):

      • If JobCategory is CERT or CERTOTHR, it maps to a teacher.

      • If JobCategory has any value other than 'staff', it maps to a staff role.

      • If JobCategory is empty, no role is mapped.

List All Guardian Users

This associate's guardian emails with student accounts; it does not create accounts for the guardians.

  • Base: Select Default (standard PowerSchool contacts) or Awesome Contacts (supported legacy table).

  • Selection Options (if "Default" base is chosen):

    • Include all active guardians: All active guardian emails associated.

    • One guardian per student: Only one guardian's email is set by priority.


Download Plugin & Configuration

  1. Once all queries are built, select Download Plugin to get the XML zip folder.

  2. Upload this XML folder into PowerSchool to generate your Client Secret and Custom Key.

  3. Return to iiQ, click Completed, then select Change Settings.

  4. Enter your configuration details:

    1. URL: Enter your PowerSchool URL ending in /WS/VS@ (e.g., powerschool.admin/ws/v1).

    2. Consumer Key: Provided by PowerSchool.

    3. Consumer Secret: Provided by PowerSchool.

  5. Select Validate & Save.


Default Location Mapping

  • Select a Default Location for imported PowerSchool users.
    This location is applied to any account that does not match your explicit location mapping rules.

Once installed in Incident IQ, click Manage App Settings to configure settings and run your first data sync.
