Custom Fields allow you to capture specific information about your contractors that standard fields don’t cover. This feature lets you add your own data fields to tailor contractor records to your district's specific needs.
Permissions and Navigation
The following permissions will allow users to perform the following actions:
Manage Custom Fields: Allows users to view, create, edit, and delete custom fields.
Navigation: Accessible under Admin > Custom Fields in the left navigation menu.
Creating Field Definitions
To create a new custom field, follow these steps:
Select the Field Definitions tab.
Click + New Custom Field.
Configure the field using the parameters defined below.
Click Save to commit the definition.
Field Configuration Parameters
Field | Status | Description |
Name | Required | The display name for the field. |
Description | Optional | A short description providing context. |
Field Type | Required | The data format (e.g., Text, Number, Date, Select, Multi-Select, On/Off, Rich Text, Phone, iiQ Location, File Attachment, Information Fields). |
Required | Optional | Determines if the field must be completed to save the record. |
Requestor Visible | Optional | Determines visibility to the requestor during contractor creation. |
Contains Sensitive Info | Optional | Not applicable for Contractors. |
Number of Instances | Required | Not applicable for Contractors; defaults to one. |
Managing Field Definitions
Search: Use the search bar to locate field definitions by name.
Pagination: Use the dropdown menu to adjust the number of fields displayed per page (Options: 10, 20, 50, 100, 200, or 1000). Default is 100.
Creating Field Definition Groups
Once field definitions are established, you can decide where to enable them.
Enable Custom Fields
Navigate: Go to the Contractors tab and click Add Field with New Conditions.
Define: Select the desired Field Definition to enable.
Configure Conditions (Optional):
Click Add Condition.
Select the filter category.
Refine the condition for the group.
Click Save Filter.
Add Additional Fields: Click Add Field to add more definitions to the existing group (these will share the same conditions).
Default Display Behavior: If no conditions are added to a group, its custom fields will be available on all contractors.
You can drag and drop each custom field for different conditions to customize the order.
Managing Field Definitions
You can modify or remove custom field definitions from the Field Definitions tab by clicking the Edit button next to the field.
Revise: Update the field attributes as needed and save.
Delete: Select the delete option within the edit menu to remove the definition entirely from the system.
Managing Field Definition Groups
You can edit or remove Custom Fields and Conditions within a group.
Custom Fields: Select the Edit or Remove buttons located on the right side of the listed field.
Note: This action only removes the custom field from its currently selected location.
Conditions: Select the condition to open the filter window to edit it or hover over the top-right corner of the condition and click the X to remove it.
Important Note: All stored data from custom fields is retained even when the custom field is removed. Removing a custom field will only affect users' ability to enter or view data related to these features.
Filtering by Contractor Custom Fields
Custom fields are available as filters in both the Contractors grid and the Contractor Rules.
