The Import Events page is located within the Events section. This feature allows users to import multiple events simultaneously using a CSV file format. It is important to note that only events scheduled for the future can be imported and updated through this process, ensuring that the data reflects current and relevant information. Past events may be uploaded, but cannot be edited after creation.
Users must have the ‘Manage Event’ permission option.
The room will be used if both the location and the room are provided.
Events cannot be imported with multiple rooms.
A custom field can be added if valid data is provided. If an invalid data type is provided, the custom field will not be set.
When importing, if there are events with the same event ID, only the first row in the CSV will be used to update or create an event.
Creating or updating events through the Event Import will trigger Rules in the Rules Engine.
You can set event visibility (private vs public) during import.
When filling out the event information on the CSV file, the Location OR Room is required, not both. Using the Location for events in all rooms and the Room for events in a specific room is recommended. If both are specified, the system will default to Room.
One of the event columns in the CSV template file is the Event ID. This is the unique number that identifies a specific event. You must enter a unique ID for each event, which can be any alphanumeric value. The Event ID Format Site Option setting allows you to format the event IDs. When events are imported, the Event ID column on the Events grid will show the IDs for each event.
You can add an alphanumeric character before or after {counter} to append the Event Id: AB{counter} or {counter}AB. When a new event is created, it will append the ID and show as AB1234 or 1234AB.
Importing Process
You can drag and drop their CSV to the import window.
When importing events, you can specify their visibility (Private or Public) in the CSV file. If the Event Visibility column is not mapped to indicate whether an event is private or public, all events will be set to public by default.
Learn more about Private Events here:
Field Mapping step - shows all currently mapped fields.
The Override Room Availability toggle is defaulted to ON and allows you to import events outside of the Room’s availability. Select Continue To Next Step.
The Double Booking Strategy dropdown has 3 options to choose from:
Block all incoming events that conflict with existing events in iiQ - When syncing events, all double-booked events will be blocked and NOT created.
Allow imported events that overlap existing events and their defined status - When syncing events, all double-booked events will be imported with their defined status.
Allow imported events that overlap existing events and their defined status and set their status to Conflict Pending - When syncing events, all double-booked events will be imported, and their status will be set to Conflict Pending.
This setting is defaulted to “Block imported events that overlap existing events”.
If the user does not have the Double Book Events permission option, the dropdown will be visible but disabled.
After mapping the fields, you will encounter additional steps. Save actions apply to each step. You can save the mapping, clear it, or move on to the next step. These steps include:
Owner Mapping
Location Mapping
Room Mapping
Event Type Mapping
Event Status Types Mapping
You will then be prompted with the Preview/Confirmation step, which shows all currently mapped data in all fields. Select Begin the Import Process.
Each row of the CSV file will be validated, and only the rows with valid data will be imported to create or update events. The successful import will show the status "Successful."
Import Results
Selecting the Show Import Results will lead you to the Import Results page, where selecting All Events, Show Created, Show Updated, or Show Skipped will show the list of all events, those that were created, updated, or skipped.
The Skip Reason column will show why the event was skipped during the import process.
