Managing User Accounts

The following section reviews general user account management in Incident IQ, including creating, editing, and deleting accounts, resetting passwords, and exporting user data for reporting.

Permissions


The following permissions will allow users to perform the following actions:

  • Create Users: Allow users to create any manually generated User Account (as opposed to AD, SSO, or SIS-generated accounts). Users listed as ‘authenticated by Local Provider’ are manually created. Additional permission option required: View Users List and Details

  • Manage Users: Allow users to view, edit, and delete manually generated User Accounts (as opposed to AD, SSO, or SIS-generated accounts). It also enables additional bulk actions: Set Location and Set Initial Product. Additional permission option required: View Users List and Details


Adding New Users

Administrators and agents with the correct permissions can manually add users in Incident IQ.

Steps to Add a User:

  1. Select the New User button at the top of the Users Explorer page.

2. Input the new user’s profile information, select a role, assign a location, and enter a password on the blank user Profile page.

3. Choose Save Changes.

Although you must manually add a password, users with these account types can always change their passwords when logging in.​​​​


Editing Users

Administrators and agents with the correct permissions can edit most users in Incident IQ by clicking Edit User on the user’s profile page.

Editing Users with External Integrations (SSO/SIS)

  • When an integration is installed, the source of user data is outside of Incident IQ, and making most changes within the source system is highly recommended.

  • Users authenticated by anything other than “Local Provider” are pulling data from an external source (visible in the top-right of the user profile section).

  • To suppress data syncs when editing data in Incident IQ, click the lock on the right of each line to ensure external data syncs will not overwrite that data.


Deleting Users

Only user accounts manually created in Incident IQ (authenticated by Local Provider) can be deleted.

Steps to Delete:

  • Select Actions > Delete User on their profile page.

Important Note: You cannot delete user accounts created during syncs with an external system (AD, SSO, or SIS). These accounts can, however, be moved to a “No Access” role to prevent unauthorized access and hide them from most searches.


Bulk User Options

Users can be bulk updated by selecting all users, including those on additional pages. Select the checkbox above all users.

Selecting one or more users reveals bulk user options for quickly changing a location or assigning a new role, and more.

To prevent locations or roles managed in an external system from reverting during a sync, check ‘Is Locked?’.


Exporting User Data

User data can be exported to an Excel file from any user’s view.

Steps to Export:

  1. Select More > Export.

2. The Exporter window opens: name your export, select filters, and choose which columns to display (any current view filters are automatically applied).

Handling Large Reports:

  • For larger reports, you may have to wait for processing.

  • A download will be provided in your user notifications when ready.

  • You will also receive an email with a direct link to the export file.


App Profile Widgets

Installed apps may provide additional details and functionality through profile widgets on the user’s page, enhancing the agent and administrator experience. The following sections review available app widgets.

SIS Profile Widget

Available to administrators and select agents in districts with an SIS integration.

Viewable User Data:

  • ID, Identifier, Role, Status, Grade, Location, and Homeroom information.

  • Courses a user is enrolled in, Incident IQ sync history, and related users.

Options Button Features (for account changes):

  • Sync User: Syncs this individual user’s data without requiring a complete system sync.

  • Remove link to SIS User: Disassociates the Infinite Campus account tied to this Incident IQ account.

  • Change SIS User: Allows changing the Infinite Campus account tied to this Incident IQ account.


Password Assistant Profile Widget

This widget, part of the Password Assistant App, replaces the normal password reset method when installed. Change the password directly from the user profile page by selecting the Change Password button under Password Reset History.

Important Note: Districts with the Password Assistant App can set up methods for agents and administrators to reset users’ passwords through Incident IQ when integrating with outside user data sources.


Policy Manager Profile Widget

The Policy Acceptances widget, a feature of the Policy Agreements App, allows users to quickly review their policy status directly from their profile page.

Actions Button Features:

  • View the policy in its entirety, including user acceptance details.

  • Clear the policy's acceptance status for the user.
