Interactive Mapping - Assets Module

Interactive Mapping solves asset location challenges by allowing users to upload building floor plans and plot specific assets and rooms onto them. This provides a visual, intuitive record for maintenance and auditing, reducing reliance on individual institutional knowledge.

Availability: Currently supported in the Facilities and Assets module.

Integration: In districts using both modules, maps and room pins are shared across the platform.


Prerequisites

Before initiating mapping, districts must ensure the following data is imported:

  • Asset Data: Asset locations and room assignments should be pre-populated to facilitate easier mapping.

  • Room Data: Complete room records must be imported.

  • Map Preparation: Digital map files (PNG or JPG) must be prepared.

  • Roles & Responsibilities: Define which users have the authority to create or manage maps.


Permissions

The following permissions will allow users to perform the following actions:

  • View Maps: Reveals Maps in the left-hand navigation (Places > Maps).

  • Edit Maps: Reveals the “Edit Mode” toggle when viewing a map and allows plotting of assets and rooms.

  • Create Maps: Allows users to create and upload maps.

  • Manage Maps: Allows users to access the Map Settings page in the left-hand navigation (Places > Map Settings).

Note: Any user with existing permissions to work on tickets or view assets has access to maps associated with those assets.


Maps Overview

Maps can be accessed and attached via:

  1. Location Details Page: Via the Maps tab.

  2. Left Navigation: Via Maps.


Managing Maps

Add a New Map

To create a map, select New Map and complete the required fields:

Defaults to the current location; can be changed via the drop-down.

A freeform, descriptive name; used for indexing and search. Includes duplicate name validation.

Map Description

Detailed text (max 500 characters).

Map Upload

Supported formats: PNG/JPG (Max 25MB). Used for blueprints, server rooms, floor plans, etc.

Edit Map Details

Navigate to the Map record via the Edit Map tab, perform necessary changes, and select Save.

Delete a Map

Navigate to the Edit Map tab, select Delete, and confirm the action in the pop-up window.


Plotting Rooms and Assets

  1. Navigate to the map and access the Map Details tab.

  2. Toggle Edit Map to "On."

  3. Select View & Plot Rooms or View & Plot Assets.

  4. Select an item from the right-hand panel, then click the desired location on the map.

    • A blue pin will appear. Drag and drop to reposition.

Status: The "Mapped" status will appear in the top-right corner of the item card.


Interaction Features

  • Zooming: Disable Edit Map mode to enable scroll-wheel zooming.

  • Hovering: Hover over any pin to view a pop-up identifying the room/asset.

  • Moving: Drag and drop existing pins to relocate them.

  • Deletion: Select the pin, identify its corresponding card in the panel, and select Delete. The item remains in the system list, but the pin and "Mapped" status are removed.


Filtering Options

Users can filter to prioritize mapping or to view specific subsets of data:

  • Rooms: Filter by Mapped/Unmapped or specific room attributes (e.g., Room Type: Art).

  • Assets: Filter by Mapped/Unmapped or specific asset attributes (e.g., "Has Open Tickets").

  • Custom Views: Lists of rooms/assets can be saved as custom views with applied filter criteria.
