Are you seeking an efficient way to monitor fees and fines associated with your iiQ resource assets? Look no further than the Fee Tracker app. This application is designed to streamline the process, allowing you to keep track of fees associated with assets. Configuring the Fee Tracker involves several steps, but once it's set up, you can easily associate fees from the asset details page, the user details page, and even during the check-in or check-out of assets. Additionally, our powerful rules engine allows you to assign fees, making the process even more streamlined automatically.
Download the Incident IQ Fee Tracker app
First, navigate to Apps>Browse and search for the Incident IQ Fee Tracker App. Then, follow the instructions to install the app on iiQ Resources.
Manage App
Once downloaded, navigate to Apps> Manage and click Manage.
To successfully configure the Fee Tracker, please follow these steps in the specified order:
Creating Item Categories
Creating Item Types
Creating Item Groups
Item Categories
Once installed, you can start adding Item Categories. These are the fines for fees categories (i.e., Beaker Fees, Microscope Fees, etc). Click on the Item Categories tab. Then click Add New Item Category.
Enter the Title of the category, along with the Description. Click Save.
When adding or editing an item category, you need to Re-Build Payment Data after making all your changes. Re-Build Payment Data is updating existing data for your grid column payment data to be displayed correctly. Click on the Re-Build Payment Data button.
You can Edit or Delete the category to the right.
Item Types
Item Types are the fees, payments, or adjustments associated with the Item Category. For example, adding a fine for a damaged textbook.
Click on the Item Types tab. Then click Add New Item Type.
Next, you will need to fill out the following fields:
Sku: required to enter the item has a Sku.
Title: required to enter the title of the item.
Description: enter a description of the item.
Category: required select which category the item is associated with.
Type: required to select the type: fee, fine, payment, adjustment.
Fines are punitive and are in response to something like damages. Such as damaged science equipment.
Default Amount: enter the default amount. This can be changed when issuing the payment or fee.
Click Save.
You can Edit or Delete the item type to the right.
Item Groups
Item Groups is a concept available exclusively with iiQ Resources module. It allows users to create specific fee types that can be associated with particular Asset Types. You can think of Item Groups as a pricing list tailored for different Asset Types. When a user applies a fine or fee to an asset, only the selected fines and fees for the specific Asset Type within the Item Group will be displayed.
Navigate to the Item Groups tab to create different groupings using the fees made on the Item Types tab. To create a new Group, select Add New Group. Next, you will create the title of the group, add the asset type filter, and select the item types. You can select multiple item type(s) per Item Group. Then select Save.
In the image below, we created an Item group for “Workbook Fee,” which has the Asset Type filter > Workbooks. Now, when applying a fee to a workbook, you will only be presented with the “Workbook Fee” Item Type.
Customize Fee Tracker Emails
In Fee Tracker email statements, you can include district-specific details and use variable data points to personalize the emails sent to parents, students, and other recipients. To do this, you will go to the Fee Tracker app and navigate to the Customize Emails tab.
This feature is product-specific, meaning the changes the user makes in the Fee Tracker statement in Resources, for example, will not affect it in the other modules like Ticketing.

If no variable data points or content is added in the Customize email statements sections, the email sent will look like this.
Reporting
The reporting tab offers a comprehensive overview of all fees and fines applied within the system. Users have the ability to filter the report based on various criteria, including User, Asset, or Payment Status, allowing them to view records categorized as Paid, Unpaid, or All. This feature is only available for the iiQ Resources module.
Permissions
Navigate to Admin > Permissions. Fee Tracker Permissions provide the ability to limit who can:
Create Payment or Fee
Delete Payment or Fee
Edit Payment or Fee
